Salary: £25,000 – £35,000 (DOE) + benefits

Overview

We’re hiring a high-calibre Pension and Investment Administrator & Researcher to join a respected Chartered Wealth/Financial Planning firm in Hailsham. You’ll deliver first-class administrative support across pensions and investments while producing timely, accurate research that empowers Financial Planners to deliver outstanding client outcomes. This opportunity is ideal for an experienced Pension Administrator and Investment Administrator who thrives in a quality-driven, FCA-compliant environment with clear progression pathways (Paraplanning/Operations/Client Services Leadership).

 

What you’ll do

Pension Administration

  • Process pension transfers, switches, crystallisations, drawdown set-ups and retirements end-to-end.
  • Maintain accurate client records (KYC/AML, fact-find, risk profile, objectives) and update back-office/CRM systems.
  • Prepare, submit and track provider forms, LoAs and discharge paperwork; chase third parties proactively.
  • Produce valuations, annual statements and review packs; resolve queries on fees, contributions and benefits.
  • Educate clients on options and liaise with Planners to ensure suitability and great service.

 

Investment Administration

  • Manage ISA, GIA, Onshore/Offshore bonds and model portfolio changes including rebalancing and fund switches.
  • Create performance/valuation reports and MI; reconcile cash, fees and transactions with audit-ready accuracy.
  • Support new-business onboarding, platform set-ups and custody; monitor settlement and remediate exceptions.
  • Track markets/fund updates, platform notices and corporate actions to safeguard client outcomes.

 

Research & Planner Support

  • Conduct structured product/fund/platform research aligned to client objectives, risk and capacity for loss.
  • Prepare illustrations, costs/charges (MiFID/KID) and comparison analyses; draft concise research summaries.
  • Contribute to investment strategy reviews, model portfolio updates and due-diligence files.
  • Build comprehensive annual/ongoing review documents and meeting packs for Planners.

 

Compliance, Governance & Client Service

  • Maintain meticulous records and audit trails in line with FCA, COBS, MiFID II and internal policies.
  • Uphold GDPR and Treating Customers Fairly (TCF) principles; escalate issues promptly.
  • Deliver responsive, personable service to clients and professional partners (providers, platforms, product houses).

 

Key Responsibilities (at a glance)

  • New Business Processing: ISAs, GIAs, SIPPs, personal pensions—application to completion.
  • Case Management: Pension and fund switches, withdrawals, technical platform queries.
  • Client Valuations: Accurate valuations, servicing letters, annual reviews and pipeline updates.
  • Compliance & Records: File checks, audit readiness, task notes and LoA/provider chase logs.
  • Planner Support: Illustrations, projections, comparisons, fees/charges breakdowns, review packs.
  • 3rd-Party Liaison: Providers, platforms and investment houses to progress cases quickly.

 

About you

  • Proven experience in investment/pension administration within an IFA, Wealth Management or platform environment.
  • Working knowledge of wrappers and structures: ISA, GIA, SIPP, Drawdown and basic tax implications.
  • Confident with Microsoft Office (Excel/Word/Outlook) and industry CRM/back-office systems (e.g., Intelliflo/IRESS).
  • Exceptionally organised, detail-driven and deadline-focused; strong written and verbal communication.
  • Team-oriented, proactive and committed to continuous improvement and professional development.
  • Desirable: RQF Level 4 (DipPFS/Level 4 equivalent) or working towards; platform familiarity; basic research experience.
